The Challenge
BOD is a walk-in preventative health retail brand in Venice offering DEXA body composition scans, PHY musculoskeletal analysis, and HEALTH/GUT biomarker panels — premium, high-intent services where trust and clarity in the booking experience directly affect whether prospective clients follow through. Their existing booking flow was generic, slow, and didn't adequately communicate the value of packages versus individual services. Clients were abandoning before completing intake forms and payment, and staff were manually following up to recover incomplete bookings. The portal also lacked proper integration with their appointment scheduling system, causing calendar conflicts and double bookings.
Our Solution
We designed and built a custom booking portal that guides prospective clients through service and package selection (DEXA, PHY, HEALTH panel, GUT panel, and whole-body packages), prep screening, appointment scheduling, and payment in a structured multi-step flow. Each step collects the intake information BOD needs: service preferences, relevant prep questions, and package add-ons. Scheduling connects to BOD's clinic calendar in real time to show accurate availability. Stripe handles deposit and full payment collection, with Affirm offered at checkout for clients preferring to finance a package. An automated confirmation and preparation guide is emailed immediately post-booking.
Our Approach
Intake & Service Selection Flow
Worked with BOD's team to map the information needed before a client can book a scan or panel (service/package choice, prep requirements, and eligibility questions). Built a branching intake questionnaire that surfaces relevant screening and preparation questions without overwhelming clients, with clear guidance when a service isn't a fit.
Real-Time Scheduling Integration
Integrated with BOD's clinic scheduling system via API to pull live slot availability by location and service type. Built a calendar selector that only surfaces available slots, handles timezone conversion for clients booking across US time zones, and holds a slot for 15 minutes during checkout to prevent double booking.
Payment & Financing Integration
Implemented Stripe for secure card processing with deposit and full-pay options. Integrated Affirm's SDK to offer financing at checkout for clients who wanted to split the cost of packages. Built a payment retry flow for failed transactions with clear error messaging rather than generic decline notices.
Post-Booking Automation
Built an automated email sequence triggering on booking confirmation: immediate booking confirmation with scan and panel preparation instructions, a 72-hour reminder with fasting and clothing guidance, and a day-before reminder with studio directions. Reduced staff manual follow-up and significantly lowered no-show rates.
